Microsoft 365 or Google Workspace? How to choose for a small team.

By Zuma Technology team2 min read

Both platforms handle email, calendars, files, documents and meetings well. Either one can run a small team. The right choice depends on how your people already work, not on a feature chart.

Microsoft 365 tends to fit when

  • Your team lives in desktop Word, Excel and PowerPoint and likes it that way.
  • You have heavy Excel users with big workbooks, macros or complex formulas. Desktop Excel is hard to beat for that work.
  • Your team already uses Outlook and wants to keep it.
  • You want chat, calls and meetings in one app. Teams does all three, with channels for each project.

Google Workspace tends to fit when

  • Your team works mostly in a web browser, on Chromebooks, Macs or a mix of devices.
  • Several people often edit the same document at the same time.
  • You prefer a simple admin console and simple sharing in Drive.
  • Meet and Gmail are already what people reach for each morning.

Things that surprise people

Outlook works with Google Workspace. If your team prefers Outlook, they can keep using it with Gmail accounts.

Teams and Meet are not the same kind of tool. Teams is a hub for chat, files and meetings. Meet is video meetings that sit alongside Gmail and Google Chat. Neither is better. They suit different habits.

Microsoft 365 also has web versions of its apps, and Google Workspace opens and exports Office files. Staying in a browser does not lock you out of either format.

Migration works in both directions. We move mail, calendars, contacts and files, and we plan the cutover so email keeps arriving the whole time.

A simple way to decide

  1. Ask your team which apps they open first every morning.
  2. List any software that has to connect to Office or to Google.
  3. Name your heaviest spreadsheet users and ask what they need.
  4. If you are still torn, run a small pilot with three people for a couple of weeks.

Zuma supports both platforms, and we use Google Workspace ourselves. Tell us how your team works and we will give you a straight answer.
